Executive Legal Assistant

We are currently seeking an experienced Executive Legal Assistant to provide administrative support to SVP, General Counsel and Secretary and other Legal Department attorneys; and to the Board of Directors.



  • Proactiveadministrative support to General Counsel and other assigned attorneys/Legal staff members, including:
    • Maintaining attorney schedules
    • Organizing meetings
    • Travel planning and itinerary development
    • Answering attorney telephones and taking messages
    • Preparing expense reports
    • Ordering supplies
  • ProactiveBoard of Directors support
    • Scheduling Board and Committee meetings
    • Maintaining Board meeting schedules
    • Logistics planning for all Board meetings (booking conference rooms, hotel and restaurant reservations, menu planning)
    • Coordinating logistics of all Board meetings on day of meeting (meals, rooms, etc.)
    • Frequent interaction with Board members and their assistants
    • Providing assistance to Board members while on-site
    • Maintaining electronic and hard copy files of all key Board materials
    • Tracking status and filing of Board minutes and minute books
  • Organizing, filing, photocopying and maintaining corporate and legal records, including:
    • Corporate files, records and documents
    • Legal agreements (electronic and paper copies of original documents and working copies)
    • Litigation files and dockets
  • Tracking return of agreements and other documents
  • Typing and proofreading documents
  • Drafting of transmittal letters and other documents
  • Mailing and faxing documents
  • Preparation of PowerPoint presentations
  • Updating and maintaining key binders, including policies, key legal information, insurance binders, etc.
  • General support of legal department staff



  • Minimum of 5 years’ providing Executive-level support within an organization
  • Bachelor’s degree or equivalent experience.
  • Experience working within a scientific or high-tech environment preferred but not required
  • Seeking executive assistant with prior administrative experience. Position requires:
  • Polished and professional interpersonal and communication skills
  • Excellent organizational skills
  • Positive “can do” attitude, with ability to be proactive and make suggestions
  • Sense of humor
  • Excellent skills in: MSWord, Excel, Powerpoint and Outlook.
  • Prior experience in legal department/law office setting preferred.
  • Proven ability to exercise judgment and independent decision-making
  • Ability and willingness to work cooperatively with others
  • Possess high degree of discretion when dealing with confidential information.
  • Aptitude for attention to detail and accuracy in work
  • Flexibility and capability to excel in a fast paced environment
